These Terms & Conditions ("Terms") govern your access to and use of Renthos ("we", "us", "our", the "Platform"). By registering an account, you agree to be bound by these Terms. If you do not agree, please do not use the Platform.

1. About the Platform

Renthos is an online platform that helps users find houses and rentals, find roommates, and discover and manage campus events through our CampusEvents feature (the "Services"). Renthos connects users with one another; unless stated otherwise, we are not a party to any rental, roommate, or event arrangement made between users.

2. Eligibility

You must be at least 18 years old to register. You must provide accurate and current information, including your full name, a valid email address, a valid 10-digit telephone number, and your place / location. You may also add an optional postal address from your profile. You are responsible for keeping this information up to date.

3. Account registration and security

You must choose a unique username and a password of at least 8 characters, including both letters and digits.
You are responsible for keeping your login credentials confidential and for all activity under your account. Notify us promptly if you suspect unauthorized use.
If you forget your password, you can request a reset link sent to your registered email. The link is single-use and expires after 1 hour. Never share it with anyone.
To limit abuse, registration, login, and password-reset requests are rate-limited. Repeated failed attempts may result in a temporary block.
For your security, sessions may time out after a period of inactivity, after which you will need to log in again.

4. Profile updates

Certain profile fields (such as username, telephone number, and postal address) may be subject to a cooldown period between updates. Your place / location may be updated at any time without restriction. This limitation protects account integrity and reduces misuse of the Platform.

5. User content and listings

You are solely responsible for any listings, roommate profiles, events, poster images, or other content you submit ("User Content"), and you confirm it is accurate, lawful, and that you have the right to share it.
You grant Renthos a non-exclusive, royalty-free licence to display and distribute your User Content on the Platform for the purpose of providing the Services.
We may edit, reject, or remove any content that breaches these Terms or is misleading, offensive, or unlawful.

6. CampusEvents

CampusEvents lets users discover events at their university and lets authorized users submit and manage them. The following additional terms apply:

CampusEvents account. To use CampusEvents you must log in to Renthos and create a separate CampusEvents account using your university, full name, university registration or staff number, university email, and a password. You must use your own genuine registration or staff number and must not register with another person's details.
One-to-one link. Your CampusEvents account is linked to your Renthos account. Once linked, it cannot be silently transferred to a different Renthos account, and a Renthos account can have only one CampusEvents account. Keep both sets of login details confidential.
Roles and access. Event features are tied to a university and, for organizers, to a student organization. Some actions are limited to specific roles, such as organization administrators and university administrators. You may only create or manage events for your own university and organization, and you must not attempt to act outside the permissions of your role.
Event details. When submitting an event you must provide accurate information, including title, date, time, venue, category, organizer name, capacity, registration deadline, and description. Event dates cannot be set in the past, and the registration deadline cannot be after the event date.
Review and approval. Events submitted by users who are not authorized to publish directly are held as "pending" until an authorized administrator approves them. Approval does not mean Renthos or the university endorses, supervises, or is responsible for the event. Authorized administrators may edit, reject, or remove events at any time.
Official events. Events marked "official" are posted by authorized campus administrators. All other events are organized by the listed organizer, not by Renthos.
Organizer responsibility. Organizers are solely responsible for running their events, for the safety of attendees, for obtaining any permissions or licences required, and for communicating changes or cancellations. Renthos is not the organizer of any event.
Poster images. You may upload an optional poster in JPG, PNG, or WEBP format, up to 3MB. You must own the image or have permission to use it, and it must not contain unlawful, offensive, or misleading content, or personal data of others without their consent. If you replace a poster, the old image is removed from our servers.
Notifications. We send in-app notifications about events, for example when an event is submitted, published, or awaiting review, including to administrators who may need to approve it.
Login protection. Repeated failed CampusEvents login attempts will temporarily block further attempts (currently 15 minutes).
Accountability. Actions such as creating and editing events are recorded against your account for security and moderation.

7. Dealings between users

We do not guarantee the identity, intentions, or reliability of other users, or the accuracy of listings and events. You are responsible for verifying listings, viewing properties, confirming event details with the organizer, and exercising caution before sharing sensitive information or making any payment. Renthos is not responsible for disputes, losses, injuries, or damages arising from arrangements or events organized by users.

8. Acceptable use

You agree not to:

Provide false, misleading, or another person's information, including another person's registration or staff number
Post fake, fraudulent, or duplicate listings or events, or attempt to scam other users
Submit events in the name of an organization or university you do not represent
Upload posters or other content that is unlawful, infringes someone's rights, or contains malicious files
Harass, threaten, discriminate against, or abuse other users
Attempt to access another user's account or data without authorization, or exceed the permissions of your role
Interfere with, disrupt, or attempt to bypass security, CSRF protection, or rate-limiting mechanisms
Scrape, copy, or collect other users' personal data from the Platform
Use the Platform for any unlawful purpose under the laws of Kenya

9. Suspension and termination

We may suspend or permanently ban any account that violates these Terms, engages in fraudulent activity, or poses a risk to other users or the Platform. A banned account will be logged out and denied further access, including to CampusEvents, and will no longer receive event notifications. We may notify you of the reason where appropriate. You may also stop using the Platform and request deletion of your account at any time.

10. Data protection

Our collection and use of your personal data is governed by our , which forms part of these Terms and is designed to comply with the Kenya Data Protection Act, 2019.

11. Intellectual property

The Renthos name, logo, design, and software are owned by us and protected by law. You may not copy, modify, or reuse them without our written permission. You retain ownership of your own User Content.

12. Availability and limitation of liability

The Platform is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted or error-free service. To the fullest extent permitted under Kenyan law, Renthos shall not be liable for any indirect, incidental, or consequential damages arising from your use of, or inability to use, the Platform, or from dealings with other users or attendance at events.

13. Changes to these Terms

We may revise these Terms from time to time. Continued use of the Platform after changes take effect constitutes acceptance of the revised Terms. Material changes will be reflected by updating the "Last updated" date above.

14. Governing law

These Terms are governed by the laws of Kenya. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Kenya.

This Privacy Policy explains how Renthos ("we", "us", "our"), as data controller, collects, uses, stores and protects personal data belonging to users of this platform ("you", "your"), in line with the Kenya Data Protection Act, 2019 and its regulations.

1. Information we collect

When you register and use Renthos, we collect:

Full name, username, and email address
Telephone number and place / location, plus a postal address if you choose to add one in your profile
Password (stored only as a securely hashed value; we cannot view your plain-text password)
Content you submit while using the Services, such as house listings and roommate profiles
Temporary password-reset tokens, stored only as hashed values and deleted once used or expired

If you use CampusEvents, we also collect:

Your university, full name, university email, and university registration or staff number, which you provide when creating your CampusEvents account
A link between your CampusEvents account and your Renthos account, and whether you are currently logged in to CampusEvents
Your student organization and role (for example organizer or administrator)
Event information you submit: title, date, time, venue, category, organizer name, capacity, registration deadline, and description
Poster images you upload (JPG, PNG, or WEBP, up to 3MB)
A record of event actions on your account, such as creating or editing an event, and the in-app notifications sent to you

We also automatically record limited technical information, such as your IP address, to secure the Platform. This includes rate-limiting registration, login, and password-reset attempts, and recording failed CampusEvents login attempts (by registration or staff number and IP address) so that repeated failures can be temporarily blocked. These failure records are cleared after a successful login.

2. Why we collect this information

To create and maintain your account and verify your identity at login
To provide the Services: connecting you with houses, potential roommates, and campus events
To show relevant listings and events based on your place / location and university
To confirm that you belong to a university and to link your CampusEvents account to the correct Renthos account
To review and approve submitted events and apply role-based permissions
To send account emails, such as password-reset links, and in-app notifications about events
To respond to support requests
To protect the Platform against fraud, abuse, and unauthorized access, including keeping activity records for moderation
To comply with our legal obligations

3. Legal basis for processing

We process your personal data on the basis of your consent (given at registration), the necessity of processing to perform our contract with you (providing the Renthos service), and our legitimate interests in keeping the Platform secure and functioning correctly.

4. What other users can see

Information you choose to publish, such as listings, roommate profiles, and approved events, may be visible to other users of the Platform. Published events show the event details, the organizer name you enter, and any poster you upload, so please do not include personal data you are not comfortable making public (for example a personal phone number in a poster or description). Pending events are visible only to the submitter and authorized administrators. Your password and email address are never displayed to other users.

5. Who can access your data inside Renthos

Administrators of your university or organization can see event submissions, review them, and see who submitted them. They use this access only to moderate events and operate CampusEvents. Activity records (such as who created or edited an event) are visible to authorized administrators for accountability.

6. Cookies and sessions

We use a session cookie to keep you logged in and to protect forms against forged requests (CSRF). Sessions may expire after a period of inactivity. These cookies are essential for the Platform to work and are not used for advertising or tracking across other websites.

7. How we protect your information

Passwords are hashed before storage. Password-reset links are single-use, expire after 1 hour, and only a hashed version of the token is stored. Uploaded images are checked for file type and size and stored under randomized file names. We use CSRF protection, rate limiting, login throttling, role-based access controls, and other reasonable technical and organizational measures to reduce the risk of unauthorized access, loss, or misuse of your data. No system is completely secure; if a breach affecting your personal data occurs, we will notify you and the Office of the Data Protection Commissioner as required by law.

8. Data sharing and service providers

We do not sell your personal data. We share limited information with service providers who help us operate Renthos, such as our hosting provider and our email delivery provider (used to send emails like password-reset links, which involves sharing your email address and name). These providers may only process data on our instructions. We may also disclose data where required by Kenyan law or a valid request from a competent authority.

9. Transfers outside Kenya

Some of our service providers may process data on servers outside Kenya. Where this happens, we take steps to ensure your data is protected as required by the Data Protection Act, 2019.

10. Data retention

We keep your personal data while your account is active, and afterwards only as long as needed to comply with legal obligations, resolve disputes, and enforce our agreements. Expired or used password-reset tokens are removed, and a poster image is deleted from our servers when it is replaced. Activity records may be kept longer for security and moderation purposes.

11. Your rights

Under the Data Protection Act, 2019, you have the right to:

Be informed about how your data is used
Access the personal data we hold about you
Request correction of inaccurate or outdated data
Request deletion of your data, subject to legal retention requirements
Object to or restrict certain processing of your data
Withdraw your consent at any time, without affecting processing already done
Lodge a complaint with the Office of the Data Protection Commissioner (ODPC), Kenya

12. Children

Renthos is intended for users aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe a minor has registered, contact us and we will remove the account.

13. Account bans and enforcement

Where an account violates our Terms & Conditions, we may restrict or suspend ("ban") it. Information relating to enforcement actions is retained for record-keeping and platform-safety purposes.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
